Privacy Policy

This policy explains what personal information School Chess collects, why we use it and the choices you have.

Information we collect

When you create an account or register for an event, we collect the details you provide, such as your username, name, email address, player profiles, event registrations and correction requests. Optional player details may include school, school year, chess level, federation ID, emergency contact information and photo consent. We also keep event results associated with participating players. Passwords are stored securely in hashed form and cannot be read by the club.

How we use it

We use this information to operate member accounts, manage event capacity, communicate about bookings, publish member-only player lists and results, keep accurate club records, respond to requests and protect the website.

Who can see it

Signed-in members can see the names of registered players and member-only event results. Email addresses and account details are not shown to other members. Event photos may be visible publicly where the club has permission to publish them. We do not sell personal information.

Service providers and overseas storage

We may use trusted hosting, storage and email providers to operate the website. Some providers may process information outside New Zealand. We select providers with appropriate safeguards and disclose only what is needed to provide the service.

Children and young people

We take extra care with information about children and young people. A parent or guardian should help create and manage an account for a child. Please contact us before sharing information or photographs about a child if you are unsure whether it is appropriate.

Retention and security

We keep information only for as long as it is reasonably needed for club operations, legal obligations and resolving disputes. We use access controls, secure connections and other reasonable safeguards, but no online service can guarantee absolute security.

Your choices and rights

You can update your profile, request correction of other information and delete a standard member account from Settings. Account deletion removes your profile and registrations and anonymises any retained historical game records. You may also ask for access to information we hold about you.
